Processing of cookies when using the chatbot

Cookies are set when you use our chatbot. A cookie contains a characteristic string of characters that enables your web browser to be uniquely identified when you visit our websites again. These cookies are processed on the basis of your voluntary and informed consent for the purpose of providing you with a convenient chatbot. If cookies access or store information from end devices (e.g. mobile phones, desktops), this is done on the basis of Section 25 (1) TDDDG. For the processing of personal data, Art. 6 (1) lit. a) GDPR constitutes the legal basis for data processing.

Right of withdrawal

You have the right to withdraw your consent at any time without giving reasons with effect for the future. To do so, you can close the chatbot and/or delete the stored cookies in your browser settings.

Scope of data processing when using the chatbot

Our chatbot processes the personal data that is entered. You can use the chatbot without entering your personal data. However, we must collect certain personal data to ensure the functionality of the chatbot. This includes the anonymised IP address, time and date of your enquiry and the content of your enquiry, as well as your email address (voluntary information). You are free to choose the content of your enquiry – therefore, please do not enter any personal or sensitive personal information in the free text field (name, address, payment details, etc.). Please note that all data you provide will also be processed by our chatbot.

Legal basis and purpose of data processing

By starting the chatbot, you give your consent (Art. 6 (1) (a) GDPR) to the processing of the personal data you have entered. The purpose of data processing by our chatbot is to respond to your enquiry(ies) quickly and conveniently. This also applies to your voluntary email address, which enables our support team to process your enquiry outside of the chatbot.

Recipient categories during data processing

We use the MoinAI chatbot from knowhere GmbH, Karolinenstraße 9, 20357 Hamburg, to provide our chatbot. We have concluded a data processing agreement with this company in accordance with Art. 28 GDPR, according to which it may only process your data for the purpose of fulfilling its tasks on our behalf and only in accordance with our instructions. Duration of storage of your personal data

Your entries in our chatbot and any subsequent individual processing by our support team will be stored until your enquiry has been answered (purpose of data processing). The maximum storage period for enquiries processed exclusively by the chatbot is 90 days after completion of processing. Enquiries processed by our support team will be stored for a maximum of three years after your enquiry has been answered (start of period: beginning of the year following the answer to your enquiry) and then deleted.
